ERP for UK operations
ERP Software Development forUK Operations
We build and extend ERP systems for UK distributors, manufacturers and service firms: stock, purchasing, production and finance, with VAT records ready for Making Tax Digital and links to Xero, Sage or QuickBooks.
- Modules scoped to your process, not a template
- MTD-ready VAT data and accounting package links
- Demo on staging every two weeks
- Code, database and accounts in your name
ERP software development in the UK is rarely about replacing everything at once. Most owners we speak to run stock in one tool, orders in another and the books in Xero or Sage, with spreadsheets filling the gaps. We build ERP modules around that reality, from Greater Noida, India, and connect them to the accounting package you already trust.
Our general ERP development page describes the service; this page covers what changes for a UK buyer. For other UK services see the UK hub.
Build, buy or extend?
Ask first whether an existing platform fits. Odoo, NetSuite, Microsoft Dynamics and Sage X3 serve many firms well, and a configured product is often cheaper than a bespoke ERP.
Custom ERP development pays back when:
- Your production, job-costing or dispatch rules do not map onto standard modules.
- You pay per-user licences for hundreds of occasional users such as drivers, engineers or counter staff.
- You need one system across several trading entities with different workflows.
- You want to rent the platform to your own customers or franchisees.
A third route is extending what you have: adding a bespoke module, portal or integration beside an existing ERP. It is often the lowest-risk first step.
Modules we build
- Inventory and warehouse: multi-location stock, batch and serial tracking, barcode scanning, stock takes and reorder rules.
- Purchasing and suppliers: purchase orders, goods received notes, three-way matching and landed cost.
- Sales and orders: quotes, price lists, order entry, delivery notes and invoices.
- Production: bills of materials, work orders, routing, wastage and job costing for manufacturers.
- Finance links: sales and purchase ledgers pushed to Xero, Sage or QuickBooks, plus management reporting.
- HR and field staff: attendance, rotas, leave and mobile apps for drivers and engineers.
- Portals: customer reordering, supplier acknowledgements and document sharing.
We have built multi-module ERP systems before. ERPSetu changes its modules and field labels to match the trade a business picks, and a textile and manufacturing ERP covers 38 modules. Both were built for Indian businesses, so they show our approach to structure and testing, not UK deployments.
UK requirements for ERP
Making Tax Digital for VAT and Income Tax
HMRC's guidance says all VAT-registered businesses should be signed up to Making Tax Digital for VAT: digital records, and VAT returns submitted through compatible software. We store VAT rate, net and VAT amounts and tax point at line level so figures export cleanly to your accounting package or bridging software.
Making Tax Digital for Income Tax begins in April 2026 for unincorporated businesses and landlords with income above £50,000, then £30,000 from April 2027 and £20,000 from April 2028, according to HMRC's digital record-keeping notice. If you trade as a sole trader or partnership, that affects how your ERP records income and expenses.
Accounting packages and payments
Most UK SMEs keep statutory accounts in Xero, Sage or QuickBooks. We usually keep the ledger there and make the ERP the source of operational truth, posting invoices, bills and payments through the vendor APIs. For recurring payments we integrate GoCardless direct debit; for card payments, Stripe; and where you want account-to-account payments, we can use Open Banking providers regulated in the UK. See the industry body Open Banking for the standards.
Data protection
Employee, customer and supplier contacts are personal data under UK GDPR. The ICO's guidance applies to payroll fields, customer addresses and driver tracking, among others. We build role-based access, field-level restrictions for HR data and audit logs. Developer access from India is a restricted transfer; the ICO's international transfers guide explains IDTA and the UK Addendum. We work with test data where we can.
Process and timeline
- Discovery (2–3 weeks): process mapping, data audit, integration list and a phased module plan with a written scope.
- Phase one (usually 12–16 weeks): the module that hurts most, often stock and orders, plus accounting sync and user roles.
- Data migration and pilot: import of products, customers and opening balances, then a parallel run alongside the old process.
- Later phases: each additional module scoped and quoted separately.
Realistic ranges, not promises: they move with data quality, number of locations and integrations.
Working across the time difference
India is UTC+5:30 all year. On GMT (from 25 October 2026) that is 5 hours 30 minutes ahead; on BST, 4 hours 30 minutes. Your morning overlaps with our afternoon, giving about four to five hours for calls with your operations and finance leads. You get a demo on a staging server every two weeks and a shared board showing every task.
Pricing models
We quote ERP work as a fixed price per phase after discovery, or as a monthly dedicated team when scope will evolve. After go-live, a support retainer covers fixes and small changes. We do not publish GBP prices because ERP cost depends on modules, users and integrations. Ask any vendor what is excluded, particularly for data migration and training.
Risks and how we reduce them
- Scope creep: phase boundaries and a change log that you approve.
- Data migration errors: trial imports, reconciliation reports and a parallel run.
- Dependency on us: source code, database and cloud accounts in your name; handover notes in the repository.
- Downtime: staged rollout by site or department, with a rollback plan.
Choosing an ERP partner
- Ask for a phased plan that delivers value in the first release.
- Check how they test stock and financial calculations.
- Confirm who owns the code and where the data lives.
- Ask how VAT and tax-point data are stored.
- See a staging site, not only slides.
What you receive at handover
- The full source code in a repository under your organisation, with build and deployment instructions.
- A database schema document and an integration map showing which system owns which record.
- User guides for each role, plus a recorded walkthrough for training new staff.
- Admin access to hosting, backups and monitoring, with a restore tested before go-live.
- A list of open issues and recommended next phases, so the roadmap stays in your hands.
Questions finance and operations heads ask
Finance directors usually want to know whether the ERP changes the audit trail. It should add to it: every stock movement, price change and approval is logged with user and time. Operations heads ask what happens when the network drops in a warehouse; for handheld scanning we can queue transactions on the device and sync when connection returns. Both are worth testing in the pilot rather than assuming.

A bespoke module beside an existing ERP is often a safe start.
Yes, through their published APIs. A common design keeps the statutory ledger in your accounting package and posts invoices, bills and payments from the ERP. We confirm API limits and the chart of accounts mapping with your accountant during discovery.
We store VAT rate, net amount and tax point per line so records export cleanly to your accounting package or MTD-compatible software that submits the return to HMRC. We do not submit returns directly unless that is agreed in scope, and we recommend your accountant reviews the design.
Expect 2–3 weeks of discovery and a first phase of roughly 12–16 weeks for the most important modules, followed by data migration, a pilot and later phases. Timelines depend on integrations, number of sites and data quality, and are fixed in the written scope.
You do. The repository, database and hosting accounts are in your name, ideally in a UK or EU cloud region, and the contract assigns IP to you. That means you can replace us or take development in-house without our permission.
