AI automation for the UK

AI Development and Process Automation forUK Businesses

We build AI automation for UK businesses: document extraction, support assistants, reporting and workflow tools, designed around UK GDPR, ICO guidance, human review and clear limits on what the model may do.

10+Years Experience
963+Projects Delivered
63+Expert Developers
20+Industries Served
  • Start with one process and a measurable target
  • UK GDPR and ICO guidance built into the design
  • Human review on decisions that matter
  • Prompts, code and accounts in your name

AI development for UK businesses works best when it starts with one dull, expensive task rather than a grand strategy: reading supplier invoices, triaging support emails, summarising call notes or answering repeat questions from your own documents. We build these from Greater Noida, India, with UK data protection and human review designed in from the beginning.

See the general AI and automation service for the wider description. This page covers what is different for UK buyers.

Where AI automation pays off

  • Document processing: extracting fields from invoices, purchase orders, delivery notes and forms, validating them against rules, and posting to Xero, Sage or your ERP.
  • Support assistants: answering routine questions from your own policies and help pages, handing difficult cases to a person with the conversation attached.
  • Sales and CRM helpers: summarising calls, drafting follow-ups for review, and enriching lead records.
  • Reporting and search: natural-language questions over your sales or operations data, and search across internal documents.
  • Workflow automation: routing, approvals, reminders and scheduled reports that remove manual copying.

Not every process needs a language model. Rules, templates and a normal integration are often cheaper and more predictable, and we use them where they fit. Our Marketing OS case study includes lead scoring, routing and workflow automation, and WorkLens shows productivity reporting. Both were built for Indian businesses; they are product examples, not UK deployments.

UK-specific requirements

UK GDPR and AI

When an AI system handles personal data, UK GDPR applies as it does to any other processing. The ICO publishes guidance on AI and data protection covering fairness, transparency, accuracy, security and individual rights. In practice we ask for each use case: what personal data goes in, what lawful basis applies, how long it is kept and whether a data protection impact assessment is needed. The Data (Use and Access) Act 2025 has amended parts of the regime, including rules on automated decision-making, so take advice before automating decisions that significantly affect people; the ICO's page on automated decision-making is the place to start.

Human oversight

For anything that affects a person, such as hiring, credit, pricing or disciplinary matters, we design a person into the loop: the system recommends, the human decides, and the reason is logged. For low-risk internal tasks, automation can run unattended with sampling checks.

Where your data goes

Model providers differ in what they retain and where they process data. We check the provider's terms for data use and retention, prefer settings that exclude your data from model training, and can select UK or EU processing regions where the provider offers them. The ICO's international transfers guide matters twice: for provider processing outside the UK, and for developer access from India. We test with synthetic or anonymised data wherever we can.

Marketing and communications

If an assistant sends emails or messages to prospects, PECR applies. See the ICO's PECR guide, which notes it is under review because of the 2025 Act. We keep consent records and opt-outs outside the model, so a prompt cannot override them.

How we build AI systems

  • Pick a measurable task. For example, "extract supplier invoices with fewer than one correction per 20 documents".
  • Collect real examples. Fifty to a few hundred samples, anonymised, to test against.
  • Prototype in two to three weeks. Compare model choices and prompts on your samples and report accuracy honestly, including failures.
  • Build the workflow. Add validation, confidence thresholds, review screens, logging and integration with your systems.
  • Monitor. Track errors, cost and drift, and keep a feedback loop so corrections improve the system.

We choose models by results on your data and cost per task, and avoid locking you to one provider where we can.

Process and timeline

  • Discovery (1–2 weeks): candidate processes, data, risks and a written scope.
  • Prototype (2–3 weeks): accuracy on your samples against the target.
  • Production build (6–12 weeks): integrations, review interface, security and logging.
  • Run and improve: monthly retainer for monitoring, prompt updates and new cases.

These are planning ranges and depend on data quality and the number of systems involved.

Working on UK hours

India is UTC+5:30 all year, 5 hours 30 minutes ahead of the UK on GMT from 25 October 2026 and 4 hours 30 minutes on BST. Your morning overlaps with our afternoon, which suits workshops with the people who do the work today. Demos run on a staging server every two weeks.

Engagement and pricing

A fixed-price prototype followed by a quote for the production build suits most AI projects, since the prototype shows whether the target is realistic. Ongoing work runs as a monthly team or retainer. Model usage fees are paid by you directly to the provider. We do not publish GBP prices because cost depends on volume, accuracy needs and integrations.

Risks and limits

  • Wrong answers: models can be confidently wrong, so we add validation, citations to your documents and review for high-impact outputs.
  • Data exposure: minimise inputs, mask identifiers and restrict access.
  • Cost drift: usage caps and per-task cost reporting.
  • Over-promising: if a task is not reliable enough, we say so and propose a narrower scope or a rules-based alternative.

What you receive at handover

  • Source code, prompts and configuration in a repository under your organisation.
  • An evaluation set with expected answers, so you can re-test after any model change.
  • Dashboards for accuracy, volume, cost per task and items sent for human review.
  • Provider accounts and API keys held by you, with usage limits set.
  • A written note on data flows for your data protection officer or adviser.

Questions operations heads and CTOs ask

Operations heads ask how many documents will still need a person. The answer comes from the prototype: we report the share handled automatically, the share sent for review and the error rate on each, using your examples. CTOs ask about model changes breaking things; the evaluation set lets you re-run tests before switching models, and prompts are versioned like code.

Starting small

The safest first AI project has a clear owner, a few hundred past examples and a cost you can already measure, such as minutes spent per document. Pick one, set the target, and judge the prototype against it. If it works, extend to the next process; if it does not, you will have spent weeks rather than months finding out.

Questions UK buyers ask

Something else? Ask us directly.

Yes. UK GDPR applies whenever personal data is processed, including by AI. The ICO publishes guidance on AI and data protection covering fairness, transparency, accuracy and security. You may need a lawful basis and a data protection impact assessment, so take legal advice for higher-risk uses.

It goes to the model provider you choose, under its terms. We review retention and training policies, prefer settings that keep your data out of training, and use UK or EU processing regions where offered. Developer access from India is a separate restricted transfer.

We advise against fully automated decisions that significantly affect people. The Data (Use and Access) Act 2025 changed parts of the automated decision-making rules, so take advice. Our designs keep a person in the loop and log the reason for each outcome.

We test on real, anonymised examples from your business before building the full system, and report accuracy against a target agreed up front. In production we add validation, confidence thresholds and review screens, then monitor errors and cost.

It can draft them, but sending falls under PECR and UK GDPR. We keep consent records and opt-outs in your system, outside the model, so a prompt cannot override them, and we recommend a person approves new templates before they go out.
