CRM for UK sales and service
Bespoke CRM Development forUK Sales Teams
We build custom CRMs for UK businesses whose sales process does not fit HubSpot or Salesforce, with consent records for PECR and UK GDPR, quotes and invoices, and integrations with the tools you already use.
- Pipeline, quotes and follow-ups shaped to your process
- Consent and source recorded for each contact
- Links to HubSpot, Xero, Stripe and email
- Source code in your name, no per-seat licence
Custom CRM development in the UK makes sense when your sales or service process is specific enough that you keep fighting a standard CRM, or when per-seat pricing grows faster than the business. We build CRMs from Greater Noida, India, with UK consent rules, UK-style quotes and invoices, and integrations designed in from the start.
Our general CRM development page describes the service. This page covers the UK specifics: data protection, direct marketing rules, tools and timelines.
Custom CRM or an existing product?
HubSpot, Salesforce, Zoho and Pipedrive solve most CRM needs. They cost less than a bespoke build for a team of ten with a conventional pipeline. A custom CRM becomes worth considering when:
- Your sales steps include survey visits, technical approvals, tender stages or partner referrals that do not fit standard objects.
- Quotes need rules, for example complex pricing, multi-site discounts or product configuration.
- Per-user fees have become a large line item and most users only need a few screens.
- You must keep tight control over where data sits and who sees it.
- The CRM must sit inside another product, such as a customer portal.
If a configured product will do, we say so. Sometimes the right answer is a lighter integration or a custom module beside HubSpot.
What we build
- Lead capture and routing: web forms, email-to-lead, phone enquiry logging and assignment rules.
- Pipeline and tasks: stages, follow-up reminders, activity timelines and manager dashboards.
- Quotes and invoices: templates, VAT handling, approval flows and sync to Xero, Sage or QuickBooks.
- Customer service: tickets, SLAs, shared inboxes and a customer portal.
- Marketing automation: segmented email, SMS or WhatsApp sequences with opt-out handling.
- Reporting: forecast, conversion and source reports your managers can export.
We have built several CRMs for Indian businesses. TrackVora covers leads, proposals, invoices and a client portal for an IT agency; Marketing OS adds lead scoring, routing and workflow automation; and 24x7 CRM is a multi-tenant sales CRM. They were built for the Indian market and are product examples, not UK deployments.
UK-specific requirements
UK GDPR and the Data Protection Act 2018
A CRM is a concentrated store of personal data. The ICO's UK GDPR guidance covers lawful basis, transparency, retention and individual rights. In the CRM we build:
- A lawful-basis field per contact and purpose, such as consent or legitimate interests.
- Retention rules that archive or delete stale leads on a schedule.
- One-click export and erasure to answer subject access and deletion requests.
- Role-based access and an audit log of who viewed or changed a record.
PECR and direct marketing
Marketing emails, texts and tracking technologies fall under the Privacy and Electronic Communications Regulations as well as UK GDPR. The ICO's PECR guidance says it is under review because of the Data (Use and Access) Act 2025, so check it for the current position before you launch a campaign. Our CRMs record the consent wording, timestamp and source, honour opt-outs across every channel and keep a suppression list. For the Act itself, see legislation.gov.uk.
Moving data to India
Developer access to a copy of your customer data is a restricted transfer. Read the ICO's international transfers guide and decide on your safeguard, such as the IDTA or UK Addendum, before real data is shared. We build with dummy contacts and keep production in a UK or EU cloud region under your account.
Integrations UK teams ask for
- Email and calendar: Microsoft 365 and Google Workspace.
- Accounting: Xero, Sage and QuickBooks, for invoices and payment status.
- Payments: Stripe for cards and GoCardless for direct debit.
- Marketing tools: HubSpot, Mailchimp and similar, through their APIs.
- Telephony and messaging: call logging, SMS and WhatsApp Business through approved providers.
Process and timeline
- Discovery (1–2 weeks): mapping your pipeline, roles, data and reports, then a written scope.
- Version one (usually 8–12 weeks): pipeline, contacts, tasks, quotes, reports and your main integration.
- Pilot: a small team uses it for two to three weeks while we fix gaps and import history.
- Rollout and support: a monthly retainer or a dedicated team for further phases.
Timelines vary with the number of integrations and the cleanliness of your existing data.
Working with a team in India
India is UTC+5:30 all year. On GMT it is 5 hours 30 minutes ahead of the UK, and 4 hours 30 minutes ahead on BST. Sales managers can join calls in the UK morning, which is our afternoon. You see working software on a staging server every two weeks and follow tasks on a shared board.
Pricing and engagement
We give a fixed quote after discovery or run a monthly dedicated team. There is no per-seat licence from us once the system is built; hosting and third-party services are paid by you. We do not publish GBP prices because they depend on features and integrations.
Risks and checks
- Adoption risk: involve two or three real users from week one.
- Data quality: plan a clean-up before import.
- Vendor lock-in: repository, cloud and domain in your name.
- Compliance: have your adviser review consent wording and retention.
What you receive at handover
- Source code in a repository under your organisation, with deployment notes.
- An admin guide covering users, roles, pipeline stages, templates and consent settings.
- A data dictionary so your analysts know what each field means.
- Access to hosting, backups and email or SMS provider accounts, all registered to you.
- A short training session for managers and a recorded version for new starters.
Questions sales and service managers ask
Managers usually ask whether reps will actually use it. The best predictor is whether logging an activity takes fewer clicks than the spreadsheet it replaces, so we test the main screens with real users before launch. Service leads ask about shared inboxes and SLAs; we model first-response and resolution times explicitly so reports match how you promise service to customers.
A note on migration
Most UK teams already have contacts somewhere: a spreadsheet, a shared mailbox, an older CRM or Outlook. We map those sources, de-duplicate on email and company number, and import with a trial run you can inspect before the real switch. Old notes and attachments can be archived and linked rather than imported, which keeps the new system fast. Keep the old system read-only for a month so nobody loses a thread.

Read the case studyNot automatically. For a conventional pipeline and a small team, a configured product usually costs less. A custom CRM suits unusual sales stages, quote rules, heavy per-seat costs or CRMs embedded in a customer portal. We say so in discovery if an off-the-shelf tool will do.
Each contact carries the consent wording, date, source and channel, and opt-outs apply across email, SMS and WhatsApp. The ICO PECR guidance is under review following the Data (Use and Access) Act 2025, so your adviser should confirm the current rules for your campaigns.
Yes. We integrate through published APIs: invoices and payment status to Xero, Sage or QuickBooks, contacts to HubSpot or Mailchimp, cards through Stripe and direct debit through GoCardless. Limits and field mapping are checked during discovery.
A first version usually takes 8–12 weeks after one to two weeks of discovery, followed by a pilot of two to three weeks. More integrations, data migration or portals extend that. We set the timeline in the written scope.
In a cloud region you choose, such as a UK or EU region, under an account in your name. Developers work on dummy data where possible, and any real-data access from India is logged and covered by a written data processing agreement and transfer mechanism.
