Custom ERP development in the USA usually starts from one of two situations: an off-the-shelf system such as NetSuite or Odoo does most of what you need but not your process, or the business has outgrown QuickBooks and spreadsheets and nothing on the shelf fits. We build custom ERP for US companies from Greater Noida, India. This page covers what we build, the US-specific problems (sales tax, accounting integrations, audit trails), and how to decide between custom, configured and off-the-shelf.

What we build in a US ERP project

An ERP is a set of modules that share one database. A US project typically starts with a core and adds to it:

  • Inventory and warehousing. Multiple locations, bins, lots or serial numbers, cycle counts, reorder points, transfers between sites.
  • Purchasing and payables. Purchase orders, receiving against orders, three-way matching, vendor bills and approvals.
  • Sales and receivables. Quotes, orders, invoicing, customer pricing, credit limits, returns, statements.
  • Production. Bills of materials, work orders, routing, material consumption, scrap and costing, for manufacturers.
  • Finance connections. A general ledger of your own or a clean feed into QuickBooks Online, NetSuite, Xero or Sage.
  • Reporting. Role-based dashboards where every figure is computed from real transactions, with exports your accountant can reconcile.

We have built ERPs for several trades, mostly for Indian businesses. Read about the multi-industry ERPSetu, the construction material ERP and the 38-module textile and manufacturing ERP. They show how we structure modules, permissions and mobile apps for stock and sales; they were not US deployments. Our general ERP service page has the full list of capabilities, and the manufacturing and logistics pages cover the industries we see most.

Custom, configured or off-the-shelf

Be skeptical of any vendor, including us, who says custom is always better. A rough guide:

  • Off-the-shelf (NetSuite, Odoo, Dynamics, Sage) fits when your process is close to standard and you want a vendor that handles upgrades. Cost grows with users and modules.
  • Configured plus extensions fits when 80 percent is standard and a few workflows are unusual. We build extensions, integrations and portals around the product.
  • Custom fits when the process is the competitive advantage, when licensing per user is prohibitive, or when you need an ERP embedded in a product you sell.

We would rather help you choose the cheaper path than sell you a full build you do not need.

US-specific requirements

Sales tax across states

Since the Supreme Court decided South Dakota v. Wayfair on June 21, 2018, a state can require out-of-state sellers to collect sales tax even without a physical presence, based on economic activity. Many states adopted thresholds modeled on South Dakota's, which are $100,000 in sales or 200 transactions into the state, but not all states did, and the details (what counts, exemptions, effective dates) differ. For an ERP this means:

  • Tracking sales by destination state, as a running total against each state's threshold.
  • Taxability per product and customer, including resale and exemption certificates.
  • Sourcing rules that decide whether the origin or destination rate applies.
  • Rates at the jurisdiction level, which change, so we integrate a tax engine rather than hard-coding tables.

We do not recommend building a tax-rate database yourself. We connect your ERP to a tax calculation service of your choice and keep the decision logic and audit trail inside your system. Your accountant or tax advisor decides where you have nexus.

Accounting and payment integrations

Most US companies keep their books in QuickBooks Online, NetSuite, Xero or Sage. We typically sync invoices, bills, payments, customers, vendors and item records, and agree up front which system is the source of truth for each. For payments, we connect Stripe for cards and ACH, and Plaid for bank account linking and balance checks where your use case needs it. Card handling uses hosted fields so card numbers stay off your servers, which keeps PCI DSS scope small; see the PCI Security Standards Council for the standard.

Audit trails, privacy and SOC 2 questions

Your auditors and customers will ask how the system controls access and changes. We build role-based permissions, immutable audit logs for financial and inventory changes, approval workflows and encrypted backups. We do not hold a SOC 2 report; if your customers require one, the realistic route is that you control the hosting, access policies and logs under your own audit, and we work within them. If the ERP stores consumer data from California residents, the CCPA rules published by the California Attorney General may apply to you, and we add export and deletion functions when your counsel says so.

Working across time zones

India is UTC+5:30 all year; US Eastern is 9 hours 30 minutes behind until November 1, 2026 and 10 hours 30 minutes behind after. Expect one to three hours of live overlap, your morning and our early evening, and asynchronous handover on a shared board. ERP projects benefit from this rhythm, because most of the work is careful building and testing, with decisions made on a short call. Every two weeks we show working software on a staging server so your finance and operations leads can try real flows. More about the model is on our USA hub.

Engagement models and how pricing works

  • Fixed quote. After discovery and a written scope, a fixed price for a defined phase, such as inventory plus purchasing.
  • Dedicated team. A monthly team for a multi-phase ERP that grows with the business.
  • Support retainer. Fixes, reports, new integrations and updates after go-live.

We do not publish dollar prices. ERP projects range too widely, and a number without a scope would mislead you. You get a written quote before you commit.

Process and timeline

ERP work is best delivered in phases rather than a big bang. A common plan: discovery and process mapping, then a first phase (often inventory, purchasing and sales) in 10 to 14 weeks, followed by finance, production and reporting phases. Data migration and a parallel run alongside the old system take real time; we plan for them from the start, with a rollback path if the cutover goes wrong.

You receive the source code, database schema and API documentation, deployment scripts, user guides for each role, and hosting and domain accounts in your company's name.

Risks of offshoring an ERP, and how we reduce them

  • Business knowledge. An ERP encodes how your company works. We start with process mapping with your operations lead and write it down, so knowledge does not live in one developer's head.
  • Data security. Production data stays in your cloud account. Developers work on test data wherever possible, and access is role-based and logged.
  • Ownership. The code and the database are yours, and IP assignment is in the contract.
  • Continuity. Documentation and standard frameworks mean another vendor could take over.
  • Change control. A written change process keeps scope from drifting.

How to evaluate an ERP vendor

  • Ask to see a live ERP they built, and ask who uses it. Ours are listed in our case studies.
  • Ask how they handle data migration and parallel runs, and what the rollback plan is.
  • Ask who owns the code, the hosting and the database credentials.
  • Ask how multi-state sales tax and accounting sync will work, in detail.
  • Ask what they will not do, and which certifications they do not have.

FAQs

Questions USA buyers ask

Something else? Ask us directly.

Buy when your process is close to standard. Build, or build extensions, when your workflow is a competitive advantage, per-user licensing is prohibitive, or the ERP must be embedded in your own product. We will tell you honestly which fits during discovery.

Yes, by tracking sales per destination state and connecting a tax calculation service for rates and taxability, with exemption certificates and an audit trail in your system. Your tax advisor decides where you have nexus; we build the logic to follow that decision.

Yes. We sync invoices, bills, payments, customers and items with QuickBooks Online, NetSuite, Xero or Sage, and agree in writing which system is the source of truth for each record type, so books never drift apart.

No, we do not hold a SOC 2 report. We build access control, audit logs and encrypted backups, keep hosting in your cloud account, and work inside your own policies if your customers or auditors require SOC 2 coverage for the system.

A first phase covering inventory, purchasing and sales commonly takes 10 to 14 weeks, with finance, production and reporting following in later phases. Data migration and a parallel run with your old system add time, and we plan that from the start.
