1. Project Overview
A factory answers to many rules at once: licences and permits that expire, statutory registers, safety permits to work, corrective actions after an incident, audits, and the papers of every contractor and transporter who enters the gate. Without one system, these sit across files, spreadsheets and email.
We built a platform that puts every register, ticket and certificate in one place, with portals for the company, its departments, contractors, transporters, safety staff and trainers.

2. The Challenge
- Licences, permits and registers with different renewal cycles across several companies.
- Safety and compliance issues that need an owner, a priority and a deadline.
- Contractors and transporters whose staff and vehicles must be compliant before entry.
- Training that must end in a certificate an inspector can verify.
- Different approval routes for different types of work.
3. What We Built
- Nine register types covering legal, licence, permit and statutory records, each with expiry and renewal tracking.
- Tickets for CAPA, permit to work, management of change, audits, inspections, training needs and surveys, with P1 to P4 priority, SLA and escalation.
- Submissions from the floor that are classified and turned into tickets automatically.
- Contractor and transport compliance, manpower requisitions and action sheets.
- Training and LMS with a certificate pipeline from quiz to viva to practical to sign-off, ending in a QR-verifiable certificate.
- A form builder with 22 field types and a workflow builder for role-by-role approvals.
- Customer, employee and vendor portals, kept apart from the staff workspace.
- Reports with compliance scores, people by role and five CSV exports, plus a calendar of register renewals and ticket deadlines.
4. How It Works
The platform runs on a Laravel 11 API with Sanctum tokens and a Next.js admin app. Ten roles, from super admin to worker, control what each person sees. Role portals for company admins, departments, contractors, transporters, safety and faculty live inside the same app.
Each company can switch modules on or off, and a compliance score with an action sheet shows what needs attention this week. A notifications engine raises alerts for expiring licences, overdue items and critical incidents.
An AI assistant answers questions about the company’s own compliance data, built on a locally run open model through Ollama. Branding colours change per company.
5. The Outcome
The platform was deployed for the client in July 2026, with the admin app and the API on the client’s own domain. Before handover, all 28 read endpoints, every create form and all 78 admin routes were tested and passed.
The production build compiles 84 pages with no type errors. A cleaner backend structure, with API resources and request validation classes, keeps the code ready for the client’s next phase.
