1. Project Overview
An IT agency sells websites, apps and yearly hosting renewals. Leads come from calls, forms and referral partners. Proposals turn into invoices, invoices into projects, and projects into renewals a year later. Most agencies track this across a CRM, a billing tool and a spreadsheet of renewal dates.
TrackVora began as our own internal tool for exactly this. We then merged it into our multi-tenant workforce platform, so each company gets the CRM and staff attendance under one login and one set of roles.

2. The Challenge
- Renewals, some prepaid for several years, that slip through when tracked in a spreadsheet.
- Referral partners who need their own signup and a clear commission.
- GST invoices that must pick CGST plus SGST or IGST by the client’s state.
- Sales staff in the field who need to log meetings and punch attendance from a phone.
- Different staff who should only see the modules their job needs.
3. What We Built
- Leads CRM with a pipeline, follow-ups, meetings with minutes and call recordings attached to follow-ups.
- Proposals from 5 templates that convert to invoices, and recurring renewals including prepaid multi-year plans.
- An affiliate programme with public signup and 15 to 25% commission, plus a client portal.
- Projects with 5 stage templates, capacity planning, team chat and a profit and loss view.
- Custom roles with permissions across 12 modules, and 13 industry packs.
- An embeddable lead capture widget and a lead report across 11 time windows.
- Payroll and payslips, with half-day leave counted in the salary run.
4. How It Works
The live platform runs on Laravel 12 and MySQL with a React 19 front end built with Vite. Each company sits in its own tenant. The CRM tables carry the same tenant scope as attendance and payroll, so one role setting controls both sides.
GST tax invoices and proforma invoices choose CGST plus SGST or IGST automatically, print HSN or SAC codes and place of supply, and show the amount in words in lakh and crore. The platform also issues payment receipts and payslips.
A Flutter app for Android lets field staff punch in with a selfie and GPS, apply for leave, log meetings and add leads on the spot.
5. The Outcome
The CRM has run live on trackvora.com since 26 June 2026, inside the same platform as WorkLens attendance and monitoring. We use it ourselves to run our own agency pipeline.
Each release passed its own test gates before going out, including runs of 34, 48 and 46 checks. The Android app ships as an APK from the platform’s own server.
