How to use
Add your business name, address and phone, plus a logo if you want one on the page.
Enter the payer’s name and contact details under “Received from”.
Set the receipt number and date, then choose the payment mode and type the UTR, cheque number or transaction ID as the reference.
Add one row for each thing the money pays for, such as an invoice number, an advance or a monthly fee, with the amount against it.
Check the total and the amount in words, then download the PDF or print it for the payer to keep.
An invoice asks for money; a receipt confirms that money arrived. Many small businesses issue both: an invoice when the work or goods go out, then a receipt when the customer pays. A receipt protects the payer, who can prove the payment, and it protects you, because the reference number ties the money to a bank or UPI entry.
On a receipt, mention the invoice it settles, for example “Against INV-0042”. That one line saves time when someone later asks whether a bill was paid.
Paying an invoice does not create fresh GST; the tax sits on the invoice. So this receipt records only the amount received, without tax columns, and it does not round the figure, because a receipt must match the money that actually came in.
Advances work differently. If you receive an advance for services before issuing the invoice, GST law expects a receipt voucher that shows the tax rate and amount. For that case, ask your CA, or record the tax in the notes and keep a matching entry in your books.
Section 269ST of the Income Tax Act bars receiving ₹2 lakh or more in cash from one person in a day, for one transaction, or for one event. Larger amounts must come by bank transfer, UPI, cheque or card. Choosing the payment mode on the receipt keeps a record of how each amount came in.
For cheques, write the cheque number and bank in the reference box and treat the payment as received only after it clears.
Schools, clinics, coaching centres and service firms often issue dozens of receipts a day. Typing each one invites gaps in numbering and payments that never reach the ledger. Not for a payment against an invoice that already shows the tax. An advance for services needs a receipt voucher with the tax shown, which your CA can set up with you.
A signed receipt with a clear reference number serves as good evidence of payment for most purposes. Sign it, and keep the matching bank or UPI statement entry with your records.
