Singapore distributors need inventory software that tracks stock by location, batch and expiry, runs receiving and picking on barcode scanners, and issues GST-correct invoices that can travel over InvoiceNow, which IRAS will require of every GST-registered business in phases up to April 2031. Whether you need an accounting add-on, a packaged ERP or a custom system depends on SKU count, the number of locations and how unusual your workflows are.
The questions your stock system must answer in seconds
A distributor's day turns on a few questions. If staff answer any of them by walking the aisle or phoning the warehouse, your software is falling short.
- How many units can we promise this customer today, after open orders and reservations?
- Where exactly are they: which warehouse, which aisle, which bin?
- Which batch ships first, and what expires this month?
- What is on order from suppliers, and when does it land?
- What did this stock really cost once freight, insurance and duty are included?
- Which customers get which price for this item?
Core features, in order of importance
- Multi-location and bin tracking. Stock by warehouse, zone and bin, with transfers between them.
- Barcode receiving, picking and counting. Handheld scanners confirm the right item and quantity at every step and replace paper pick lists.
- Batch, lot and expiry. Essential for food, health products and chemicals. Picking by first-expiry-first-out cuts write-offs.
- Units of measure. Buy by the pallet, store by the carton, sell by the piece, with conversions handled by the software.
- Reservations and back orders. Allocate stock to confirmed orders so two salespeople cannot sell the same carton.
- Landed cost. Spread freight, insurance and duty across a shipment so margins reflect reality.
- Customer pricing. Contract prices, volume breaks and promotions by customer group.
- Replenishment. Reorder points and suggested purchase orders from sales history and supplier lead times.
- Returns and quality hold. Returned or damaged stock sits in a separate status until someone inspects it.
Singapore compliance that touches inventory software
GST at 9%
GST has been 9% since 1 January 2024, per IRAS. Your system should hold tax codes per item and customer, such as standard-rated and zero-rated for exports, rather than a single rate hard-coded into invoice templates.
InvoiceNow is coming for everyone
Under the GST InvoiceNow Requirement, GST-registered businesses must use an InvoiceNow-Ready Solution to send invoice data to IRAS. As of the IRAS FAQ dated 23 September 2026, the phases run:
- From 1 April 2026: all businesses applying for new voluntary GST registration.
- From 1 April 2028: all new compulsory registrants, and existing GST-registered businesses with total annual supplies of S$200,000 or less.
- From 1 April 2029: existing businesses with annual supplies of S$1 million or less.
- From 1 April 2030: existing businesses with annual supplies of S$4 million or less.
- From 1 April 2031: existing businesses above S$4 million.
The extension to all GST-registered businesses was announced at the Committee of Supply 2026. If you are choosing inventory or ERP software now, ask how it will send invoices over InvoiceNow: natively, through an accounting package already on the official list of InvoiceNow-Ready Solutions, or through an integration with an access point provider. A custom system needs the same answer designed in, not bolted on in 2028.
Import permits
Goods imported into Singapore need a customs import permit submitted through TradeNet, and controlled items carry extra requirements from the relevant authority, such as the Singapore Food Agency for food. Inventory software should store the permit number against each inbound receipt and record import GST separately from duty and freight, so an audit trail runs from permit to stock to sale and your accountant gets clean figures.
Grants
Enterprise Singapore replaced EDG and PSG with the EDGE Grant on 30 September 2026. Its FAQ caps each company at S$100,000 a year, of which up to S$30,000 can go to single-function digital solutions, integrated enterprise systems and pre-scoped equipment. Whether a given inventory system qualifies, and whether the vendor must be pre-approved, depends on the activity, so check before you sign.
Accounting add-on, packaged ERP or custom
Accounting package inventory
Xero and QuickBooks Online both include basic tracked inventory. That suits a single location with modest SKU counts; check each product's current limits on locations, batches and units of measure before you commit. Small distributors often start here and move on when a second warehouse or expiry tracking arrives.
Packaged ERP or WMS
Odoo, NetSuite, SAP Business One and dedicated warehouse systems cover multi-location stock, batches, landed cost and scanning, with local partners for setup. The costs are licence fees, implementation and the effort of fitting your process to the package.
Custom software
A custom system makes sense when your workflows are what wins customers: unusual pricing, vendor-managed inventory at client sites, a B2B ordering portal tied to live stock, or integrations the packages handle poorly. It also makes sense when per-user licences across warehouse staff and drivers outgrow the cost of owning the software.
Our ERP development work draws on ERPSetu, a rentable ERP that changes its modules, field labels and documents to match the trade a business picks at sign-up, built by merging 17 of our earlier ERP codebases. It was built for Indian businesses and India's GST, so treat it as evidence of how we approach multi-industry inventory rather than as a Singapore-ready product.
On the warehouse floor
The office screens matter less than what happens in the aisles.
- Rugged Android scanners with built-in barcode readers are standard kit in distribution. A mobile app built for them should need one scan and one tap per pick.
- Offline tolerance. Wi-Fi dead spots in cold rooms and mezzanines are common. The app should queue scans and sync when it reconnects.
- Labels. Print bin, carton and pallet labels from the system so every location and handling unit has a barcode.
- Cycle counts. Count a few bins every day instead of closing for an annual stock take.

A migration plan that keeps orders flowing
- Clean the item master first. Duplicate SKUs and inconsistent units cause most go-live problems.
- Choose a cut-over weekend. Do a full count, load opening balances by bin and batch, and reconcile against the old system before Monday.
- Run in parallel briefly. One to two weeks of double-checking key reports catches mapping errors.
- Train pickers on the scanner, not a slide deck. Short sessions on the actual device beat classroom training.
FAQs
Do we need a WMS, or is an ERP inventory module enough?
If you run one or two warehouses with straightforward picking, a good ERP inventory module with scanning is usually enough. Dedicated WMS features such as wave picking, slotting and labour tracking pay off at higher volumes.
Will our inventory system need to support InvoiceNow?
Your invoicing will. Existing GST-registered businesses come under the requirement between April 2028 and April 2031 depending on annual supplies, so whichever system issues your invoices needs a route to an InvoiceNow-Ready Solution.
Can the EDGE Grant pay for inventory software?
Possibly. Digital solutions and enterprise systems fall under a S$30,000 annual sub-cap within the S$100,000 EDGE Grant cap, and eligibility depends on the activity and vendor rules. Check the Enterprise Singapore FAQ for the current position.
How long does an inventory system rollout take?
For a packaged system, expect two to four months including data clean-up and training. For a focused custom build, 12–20 weeks to a first production release is a realistic planning range, followed by a parallel run.
Next step
If your stock lives in spreadsheets, an accounting add-on that no longer fits, or an old system nobody wants to touch, book a scoping call. After a short discovery we send a written scope and a fixed quote, and you see working software on a staging server every two weeks.
Key takeaways
- Rank features by the questions staff ask daily: available to promise, exact bin, batch and expiry, incoming stock and landed cost.
- Every GST-registered business comes under the InvoiceNow requirement in phases from April 2028 to April 2031, so plan the invoicing route now.
- Store the TradeNet import permit number against each inbound receipt to keep an audit trail from permit to sale.
- Accounting add-ons suit simple stock; packaged ERPs suit standard distribution; custom software suits workflows that win customers.
